The situation
A participant is describing an acquisition that has not been announced. In the participant list you see three entries ending in 'Notetaker'. Two people in the room have assistants running on their laptops. The conversation is still going.
First moves and what each one costs
- Interrupt immediately, pause the conversation, and say what you have found before another word is said — An uncomfortable ten seconds, then visible relief. The speaker stops mid-sentence and thanks you. Nothing further is captured.
- Have your producer remove the bots quietly and say nothing to the room — The recording stops. But the participants never learn they were recorded, and you now hold that alone.
- Wait for the natural break in ten minutes and address it then — Ten more minutes of unannounced material is transcribed, including the acquisition and two named clients.
Preparation notes for this situation
- State the recording rule out loud, not just on the invitation, and name AI assistants explicitly
- Configure the hybrid platform to block unnamed participants and recording bots before the session, not during
- Stop the room the moment you find a recording — asking afterwards is not consent
- Agree with participants what may be published: themes yes, attribution no
- Check the local law: many places require every participant's consent to record, so unconsented capture is a legal exposure, not just a broken promise
- If a session was recorded without consent, tell the participants and take legal advice before anything is deleted or shared
