The situation
It is 19:40. Police are asking people to avoid a six-block area that includes the route to your offsite dinner, which begins in fifty minutes. Two hundred attendees are already in the lobby. Nobody knows yet whether the suspect is in custody.
First moves and what each one costs
- Cancel the offsite, keep everyone in the hotel, and send one message on your stated channel: what is known, what is not, and when you will speak again — The lobby settles. Attendees stop trading screenshots because they have a source. The hotel restaurant absorbs the dinner.
- Proceed with the offsite but add coaches and private security — You are moving 700 people through a city police have asked people to avoid, and you have made your own security assessment.
- Wait for more information before saying anything to attendees — Twenty-five minutes of silence. Attendees write to their own head offices, some of whom instruct them to leave the city immediately.
