The situation
You hear gasps from the audience during the keynote. Through the backstage monitor, you see someone in the 5th row has slumped in their chair. The speaker has stopped mid-sentence and is looking out at the audience. People nearby are standing up. You have seconds to act.
First moves and what each one costs
- Radio your medical team and security immediately while heading to the ballroom — Your medical team is dispatched in under 30 seconds. Security begins clearing an aisle. You're moving toward the scene.
- Rush directly to the collapsed attendee yourself — You reach the person in 45 seconds, but no one else on your team knows what's happening yet. The audience is growing more anxious.
- Tell the speaker to keep going while you quietly handle it — The speaker awkwardly tries to continue but no one is listening. Precious seconds pass without medical attention.
Preparation notes for this situation
- Every event organizer should know CPR and AED location
- Call 911 (or your local emergency number) immediately and in parallel with any on-site medical response — an in-house team is never a substitute for EMS
- Pre-brief all staff on medical emergency protocol before the event starts
- Keep a dedicated radio channel for medical emergencies
- Never move an unconscious person unless they're in immediate danger
- Never share an identifiable person's medical details without their consent — keep public updates general
