The situation
Your registration lead's voice cracks over the radio: 'We have a situation at the front desk. A man we turned away is screaming that he's going to find [keynote speaker] and 'make them pay.' He's getting louder, he knocked over the badge station, and attendees are backing away. I don't think he has a weapon but I'm not sure.' You're 50 feet away in the main hall.
First moves and what each one costs
- Radio security to the lobby immediately, use the lockdown code to alert all staff, and have someone get the keynote speaker to a safe room — Security converges on the lobby in 40 seconds. Staff hear the code word and begin quietly securing rooms. The speaker is escorted backstage. You've activated your full safety protocol.
- Walk calmly toward the individual and try to de-escalate the situation yourself — You approach with calm body language. The individual redirects his anger at you. He's shouting in your face. You're now between a volatile person and 200 attendees with no security backup yet.
- Call 911 immediately and wait for police to arrive — Police are dispatched but will take 5-10 minutes. In the meantime, the individual is still in your lobby with 200 attendees. No one on your team is managing the situation.
Preparation notes for this situation
- Always have trained security at registration, not just volunteers
- Establish a lockdown code word that all staff know before the event
- Never physically engage a threatening individual — create distance and call professionals
- Have a safe room identified for VIPs and speakers before the event starts
