Keynote Speaker Doesn't Arrive
Your headline keynote is supposed to take the stage in 30 minutes. They're not at the venue, not answering, and their flight landed three hours ago.
Setting: Tech leadership summit, 1,200 attendees, opening morning keynote. Category: Event Operations. Pressure level: High.

The situation
30 minutes to curtain. The runner just texted: speaker not at the hotel. Their phone goes to voicemail. Their agent is asleep in another time zone. Twitter shows a photo of them at an airport bar 90 minutes ago.
First moves and what each one costs
- Activate your standby speaker, brief them now, push the keynote back by 15 minutes with a holding announcement — Backup speaker takes the stage 20 minutes late but delivers a strong session. Audience never knows the difference.
- Dispatch a car to the airport and stall the audience — Driver arrives in 25 minutes. Speaker is drunk. You can't put them on stage. You've burned 40 minutes.
- Cancel the keynote outright and move to the next session — Audience feels cheated. Sponsors who paid for that slot demand refunds.
Preparation notes for this situation
- Always have a B-list backup speaker briefed and on standby
- Confirm speaker arrival the night before and again 4 hours pre-session
- Have a moderated audience interactive ready as a fallback
